Effective date and policy status

This Privacy Policy is approved by the business owner for the planned public launch of BantayBigas. It has not been reviewed or certified by a lawyer and is not legal advice. Effective Date: September 19, 2026. Last Updated: September 19, 2026.

Service and data roles

Artech V IT Services is the SaaS Vendor/Application Service Provider for BantayBigas. The subscribing rice-store owner or business is the Client or Subscriber. The Client or Subscriber owns and manages the business data it enters into BantayBigas. Third-party cloud, hosting, storage, backup, email, and security providers may process or store data as applicable to the deployed architecture. This Policy does not assign a final legal controller, processor, or sub-processor classification beyond the actual data-processing arrangement.

Future Request a Demo information

The Request a Demo form may require store or business name, contact person, mobile number, email address, city or province, biggest operational problem, preferred demo schedule, and consent to be contacted. It may optionally request number of branches, approximate product count, and current sales, stock, and Utang tracking method. It will not request passwords, bank details, complete customer lists, or unnecessary sensitive personal information.

How future inquiry details may be used

If collected through an activated Request a Demo form, contact details may be used to respond to the inquiry, understand and assess the stated business need, qualify a prospective customer lead, arrange a guided demo, and follow up regarding BantayBigas services. The final consent wording, scheduling method, retention period, and inquiry deletion or export process remain subject to the applicable approved process.

Website analytics and marketing measurement

When enabled on the production BantayBigas website, Google Analytics 4 and Meta Pixel may be used to measure website use and successful public inquiry submissions. These services may receive browser, device, and website-usage information through their own technologies. BantayBigas does not intentionally send public form-field contents, such as names, email addresses, store details, or messages, as analytics or Pixel event parameters. This Policy does not state that website use gives advertising consent; analytics and marketing-measurement disclosures and any consent requirements remain subject to applicable review.

Customer data access and requests

When a customer of a Client or Subscriber contacts the rice-store owner regarding their data, the rice-store owner is responsible for using available BantayBigas system functions to update or delete that customer data where those functions permit. If the Client or Subscriber has a privacy-related question or needs an operation that cannot be performed through the dashboard, such as permanent account deletion or complete database export, it may contact [email protected]. This Policy does not guarantee deletion, export, restoration, or a specific response deadline.

Privacy and support contact

Privacy and support concerns may be sent to [email protected] or [email protected]. Use [email protected] for privacy questions, data-access requests, deletion requests, account export requests, account-closure requests, and technical support. Use [email protected] for general administrative concerns.

Data storage and international processing

BantayBigas data is stored and processed on third-party virtual private server infrastructure located in the United States. Third-party infrastructure, hosting, storage, backup, and security providers may be used to operate and protect the service. Cloudflare may be used as an additional DNS, traffic-protection, and web-security layer where configured; it does not by itself guarantee the security of all application or database data.

Security and access control

BantayBigas uses TLS or SSL protection for data in transit. Encryption at rest applies where supported by the VPS or cloud infrastructure. Firewall and DDoS protection apply where configured, and the applicable infrastructure is subject to 24/7 infrastructure monitoring. Regular backups are maintained according to the applicable maintenance and backup schedule. Clients and Subscribers are responsible for protecting their account credentials and should log out on shared devices. Access is limited on a need-to-know basis, and technical access may be used only when needed for support, troubleshooting, upgrades, maintenance, optimization, or legal requirements. Infrastructure-specific protections remain dependent on the configured providers and deployed architecture.

Policy updates and governing law

This Policy may be updated when services, features, infrastructure, or applicable requirements change. Significant changes may be communicated through the website, email, or the BantayBigas dashboard where applicable, and users should review the latest version. This Policy does not state that continued use constitutes legal consent. The relationship described by this Policy is governed by the laws of the Republic of the Philippines.
